How to Add/Update Content to the Website

For all operations, it is assumed that you are logged into a WP account with sufficient permissions enabled. (https://scp.eecs.yorku.ca/wp-admin/).

The basic units of WordPress are ‘Pages’ and ‘Posts’.  This site uses additional types, such as ‘Action Area’, “Call to Action’ etc.  We’ll refer to these as specific custom types of Pages.

Note: The frontend used several mechanisms to generate content.  Not all of the content on the frontend corresponds to particular hand-built entries on the site and thus can’t be found in a single location in the backend.  For instance, several pages get generated from html templates using content that exists in several different units (that get pulled together into a single overview).

1. Adding/Revising an Action Area

Before getting started, you need to know:

  • The CtA(s) that are advanced via the Action Area

WordPress Type: Action Areas (custom page type)

How to do this:  via the WP Dashboard or via the ‘Add New’ button under a list of ‘Action Areas’ (e.g., when adding/revising something else that connects to an Action Area)

Each Action Area has three components:

  • Description: one or more paragraphs
  • Example tactics
  • Relevant Organizations

1a. Under ‘Description’:  

  1. In the editor, use the main area of the page to enter one or more paragraphs describing the action area.
  2. After the ‘Description’, our convention is that final chunk is a bullet list entitled “Example tactics” (see next section)

1b. Under ‘Example Tactics’:

  1. In the editor, use the main area of the editor to enter the example tactic information after the Description section
  2. The bullet list should be entitled “Example tactics” (without the quotes)
    • Write the bullet points.
  3. List each tactic
    • do you want the tactic to link to a tactic page? here’s how to do it
    • List the tactic using a Key word or key phrase:
    • You may need to go to tactic page to ensure the Key word or key phrase have been set up there (see section “Adding/Revising a Tactic”)
    • The Key word or key phrase should automatically get linked to the tactic page. The Auto Internal Linking mechanism will turn the key words into a hyperlink to the tactics description page. 
    • Troubleshooting: if the auto internal linking mechanism is not working:  go to the Tactic page and verify the keywords associated with the tactic.  Ensure you are using a valid phrase and/or add new keywords to the tactic page
  4. Checkboxes:
    • go to the ‘More Fields” block of the editor (towards the bottom)
    • go to “Example Tactics” section of this blockensure that all tactics in the bullet are have their checkboxes checked off (selected)If the desired tactic does not appear in the checkbox list, go to “Adding/Revising a Tactic”
    • The information about the selected tactics does not affect how users experience the website.  BUT IS IMPORTANT to keep our “3-level model” up-to-date

1c. The Action Area page should contains a SHORT CODE

  • After the ‘Description’ and ‘Example Tactics’ paragraph(s) in the main area of the editor, there should be a block of type “Pods Single Item”. 
  • This block is used to generate the ‘Relevant Organizations’ section from the items selected in the checkbox list.
  • Eventually add set-up instructions here. For now, if this is missing, ask dev team to set this block up (flag on the issues page)

1d. For  “Relevant Organizations”

  1. go to the ‘More Fields” block of the editor (towards the bottom)
  2. go to “Organizations relevant to this action area” section of this block
  3. ensure that all of the organizations are checked off (selected)
  4. The information about the selected organizations is used to populate the ‘Relevant Organizations’ section

2. Adding/Revising a Tactic

We have two types of tactics:

  • “Rich” tactics – has a description page that contains a description of the tactic. and ‘how to’ information, resources, etc
  • “Self-evident” – does not have an additional page

2a. Adding/Revising a “Rich” tactic:

  • How to do this:  you can add a new tactic via the WP Dashboard or via the ‘Add New’ button (when adding/revising something else)
  • Choose a Key word or key phrase for this tactic (e.g., how was this tactic described on the Action Area page?). This gets used as the basis for generating links to this tactic automatically.
  • Fill out the information
  • On the right hand side, there is a panel called “Internal Links”
  • add the Key word or key phrase for this tactic using the ‘Add Keyword’ button. This means that anywhere that key word or key phrase appears, an internal link to this page will automatically get generated.

3. Adding a New Shareable

To add new Shareable:

Stage 1

  • go to Shareables, select “Edit SCP Shareable Set”, go to bottom of the page, under “Shareables”, select “Add New” button
  • add a Title at the top of the page (should be the same text as the field “Shareable Title”)
  • in the space where it says “Type / to choose a block”, do the following:
    • type / and then select “Pods Single Item”
    • on the right-hand panel, under “POD NAME”, leave it as the value “- Use Current Pod -“
    • under “TEMPLATE”, select from the drop-down menu “template-for-listing-a-single-shareable”
  • Complete the fields as follows:
    • “Shareable Title” – should be the same as the page title
    • Contributor – if not there on the list, then wait for stage 2
    • Location – if not there on the list, then wait for stage 2
    • Responds to Which Call(s) to Action? – check off boxes as appropriate
    • Shareable Set – select the only possible radio button
  • Select “Update” button and then view the newly-created item

Stage 2

  • on the Shareables page, select the newly-created Shareable (click on the title link to go to the Shareable’s page)
  • the location is absent and the constributor is missing
  • select “Edit SCP Sharables”
  • under Contributor, select the “Add New” button (follow instructions for adding a new Contributor)
  • under Location, select the “Add New” button (follow instructions for adding a new Location)
  • Select “Update” button

Adding a New Contributor

  • add a Title at the top of the page (should be the same text as the field “Contributor Name”)
  • in the space where it says “Type / to choose a block”, do the following:
    • type / and then select “Pods Single Item – List Fields”
    • on the right-hand panel, under “POD NAME”, leave it as the value “- Use Current Pod -“
    • under “OUTPUT TYPE”, select from the drop-down menu “Paragraph elements <p>”
  • Complete the fields as follows:
    • “Contributor Name” – should be the same as the page title
    • Contact – complete the field, provide either a link to a ‘contact us’ page or an email address. For an email address, type it out, select it and then press the ‘link’ button. The “Enter link” field will be automatically populated and then hit save. For example, if you type in ‘baljko@york.ca‘ and follow the instructions, the link mailto:baljko@yorku.ca will get generated.
    • Shareables on this site – you don’t need to check this off, it will get automatically updated once you connect the Contributor to the Shareable
  • Press “Publish”

Adding a New Shareable Location

  • add a Title at the top of the page (should be the same text as the field “Contributor Name”). Use the prefix “External Link:”
  • in the space where it says “Type / to choose a block”, do the following:
    • type / and then select “Pods Single Item”
    • on the right-hand panel, under “POD NAME”, leave it as the value “- Use Current Pod -“
    • under “TEMPLATE”, select from the drop-down menu “template-for-listing-a-shareable-location”
  • Complete the fields as follows:
    • url – the URL location
    • What is found at this location? select from the drop-down menu
      • this assumes that there is one location per shareable and that shareables do not share locations. Contact Melanie if there is a case where two shareables have the same URL
    • Maintenance notes:
      • not yet sure what we should write…possiblilities
        • tell the users to report the broken link and then provide URL to reporting page
        • add a ‘report broken’ button
        • list the QA trail, when the link was last verified to be working (E.g., “Link verified as of: YYYY-MM-DD”)
  • Press “Publish”

Auto Internal Linking: a mechanism that WP has to automatically turn some phrases on some Pages into hyperlinks to other

‘Frontend’: means how the website looks on a browser (deskop or mobile)

‘Backend’: means how the website content is set up, via the WP dashboard, etc.
